If you’re looking to acquire a Schengen business visa, you must plan and submit your application at least three months before the date of travel. Doing so ensures there will be enough time for the embassy to process and approve your request. Additionally, take care in visiting the official website first as they may have additional documentation or criteria needed than what’s outlined by standard requirements. The earlier you apply, the more likely it is your business visa will be approved.

The best time to apply for a Schengen Business Visa is at least three weeks before the intended date of travel.

To obtain a Schengen Business Visa, you will need to provide the following documents:

• Passport with at least three months validity beyond the date of intended stay in the Schengen territory.
• Two recent passport-sized photos with a white background.
• A completed and signed visa application form.
• Proof of valid medical insurance coverage with a minimum coverage of €30,000 for the entire duration of stay in the Schengen area.
• Letter from employer stating the purpose of travel and duration of stay.
• Proof of accommodation for the duration of stay in the Schengen area (hotel reservation or invitation letter from host).
• Proof of sufficient financial means to cover travel expenses. It should include either a bank account statement (showing that you have sufficient funds in your account to cover your travel expenses) or a sponsorship letter from a person residing in the Schengen area (if someone is covering the expenses of your trip) or a combination of letter of sponsorship and bank account statement.
• Proof of Visa fee payment.
• If the two companies had conducted business together previously, evidence of such activity should be provided.
• If you are attending a business meeting, an invitation letter from the organisation hosting the meeting and a copy of the agenda should be provided.
• If you are self-employed, you must provide proof of business ownership, such as a registration certificate, ITR or income tax returns, and the company’s last six months’ bank statement.
• If you are travelling for trade fairs or exhibitions, an invitation letter from the organisers is required.
• Employees should submit employment contracts, Certificates of Income Tax reduced/paid, the last six-month bank statement, and leave permission from the employer.
• In certain cases, additional documents may be required. The visa application should also include a cover letter explaining the purpose of the trip.

Who Is Exempt From Schengen Visa Fee?

How To Pay Your Schengen Business Visa Fee?

The Schengen visa fee must be paid when submitting your application. The fee can be paid in cash, by a credit or debit card, or online via bank transfer. When paying online, you must provide proof of payment with the application form and supporting documents. If the visa fee is waived for any reason, the applicant must submit proof of exemption with the application.

The processing time for a Schengen Business Visa usually takes 10 calendar days from the day of submission. In certain instances, applications may take longer to process due to additional documents required for background checks. Generally, you will be notified via email when a decision has been made.

The validity of a Schengen Business Visa depends on the purpose and duration of your business trip. The visa will allow you to stay in the Schengen area for up to 90 days within 6 months from the date of entry.
